Secure Partner Portal

I designed and developed one secure hub for installer certification, distributor materials, events, and regional sales follow-through. The view changes with the user's role, region, and onboarding status.

The challenge

Installers needed a clear route through required certification and then tools, support, contacts, and in-person training. Distributors needed launch assets, co-marketing materials, optional learning, events, and a sensitive price book. Regional sales teams and the learning department needed their own ways to keep onboarding moving.

Before the portal, distributor information was shared through SharePoint links that anyone with the link could access. The organization needed controlled access to sensitive partner materials and a workflow that carried the end-of-course form into region-specific sales follow-through.

My role

I owned the portal's interface design and development and worked closely with technical sales operations to map the real onboarding process. I translated requirements for external partners and internal teams into role- and region-aware views, set up and integrated the LMS with the site, and connected the onboarding handoff to HubSpot. I wrote custom PHP to tailor the portal’s processes and features to how those teams actually work.

The most demanding work was implementing the dynamic visibility and HubSpot data synchronization reliably. Access depends on more than a broad user type: an installer can be in onboarding or certified, and the certified view has regional contacts and resources. That state also has to line up with the CRM process.

What I built

01Custom PHP and dynamic access

Custom PHP extends the portal’s processes and features, including distinct installer, distributor, regional team, and learning views with additional visibility by certification status and region.

02Integrated LMS and CRM handoff

I set up the LMS within the site for required installer certification and optional distributor learning. After an installer submits the end-of-course form, a HubSpot workflow uses the company location to assign the correct sales rep a task. The rep updates the installer’s portal role to the appropriate regional certification level, opening the full dashboard.

03Secure distributor hub

A controlled home for sensitive pricing, launch materials, co-marketing assets, optional courses, and event requests.

04Field-ready installer hub

Tools, assets, support, regional sales and technical contacts, and registration for in-person training in one place.

Course completion leads to a form submission. HubSpot uses the installer’s company location to route that submission and create a task for the correct sales rep. The rep updates the installer’s portal role to the regional certification level; the portal then presents the appropriate field resources and team contacts.

The study above illustrates this transition. The live portal is private, so no partner records, pricing, or internal screens are shown here.

The result

The custom portal avoided more than $20,000 in proposed annual portal software spend. I also recommended an LMS with comparable needed functionality and without the prior option’s per-seat pricing, reducing projected costs further. There is no verified combined savings figure, so the $20K+ figure refers only to the portal platform.

Partners gained a central place for training and role-relevant work, while regional teams gained a clearer location-based certification and onboarding handoff. Sensitive distributor documents moved into a controlled partner experience instead of relying on shareable links.
